Hiring: People Operations Officer (Part-Time)

Position Overview


We are seeking a motivated part-time People Operations Officer to join our dynamic team either in Ottawa or remotely within Ontario. Reporting to the Director of Operations, you will collaborate closely with them to support Action Canada’s people operations functions and foster a supportive work environment. In this role, you will be the first point of contact for team members when it comes to benefits, leave, and workplace support. You will also support recruitment, hiring, onboarding and offboarding processes, help make sure key documents like our employee handbook and organizational charts are up to date, and ensure team workplans and performance management processes are completed on time. This is Action Canada’s first time hiring for a People Operations Officer. We are excited to have someone support the team in this way and are open to learning and adjusting as this role develops. Job Duties and Responsibilities

Key Responsibilities

People and Culture Administration Support - 70%

  • Support the Director of Operations in developing, implementing, monitoring and updating new policies as needed.
  • Provide day-to-day guidance, support and interpretation of existing people operations policies and procedures, and collective agreement applicable to staff members.
  • Support management in recruitment processes, including posting job advertisements, arranging interviews, preparing interview packages and conducting reference checks. The People Operations Officer may be asked to attend interviews.
  • Support the onboarding/orientation of new employees, including preparing orientation material, communicating with new hires and coordinating with other directorates as part of the onboarding process.
  • Prepare standard employment related letters such as confirmation of employment, etc.
  • Support Action Canada’s annual performance review process and track performance review files, ensuring compliance with performance review deadlines.
  • Provide backup support for payroll processing as needed.
  • Support offboarding processes for employees.
  • Manage sensitive and confidential employee information.

 

People Operations Systems and Processes - 15%

  • Coordinate and support staff training and learning initiatives, including ensuring accurate training records.
  • Maintain the organization’s human resources portal (PurelyHR)
  • Maintain and update information available to employees, such as the employee handbook, organizational chart, leave balances, and information on benefits.
  • Maintain the seniority list and other information reports required by the collective agreement.

 

Organizational Resilience, Support, and Planning - 15%

  • Work to foster an organizational culture that advances equity, is inclusive, and fosters trust and safety.
  • Support annual and quarterly planning processes, development of annual team retreats, professional development, and teambuilding.
  • Support the Director of Operations in fulfilling team reporting duties.
  • Regularly report verbally and in writing to the Director of Operations.
  • Attend Action Canada’s all staff meetings.

Key Accountabilities

  • Maintain employee records and key organizational documents.
  • Assist with recruitment, selection, and hiring.
  • Assist with onboarding, and offboarding.
  • Respond to employee inquiries regarding people operations policies, procedures, benefits, and general workplace inquiries.
  • Maintain and update human resources databases and employee information management systems.
  • Support special projects as needed.

Qualifications

  • Post-secondary degree in Human Resources, Business Administration or related field, or equivalent combination of education and experience.
  • Minimum of 2 years experience in payroll, human resource system administration or a people operations supporting role. Experience working in a unionized environment is a strong asset.
  • Knowledge, understanding, and commitment to sexual and reproductive rights and a person’s right to determine their own sexual and reproductive choices.
  • Commitment to anti-racism, anti-oppression and intersectional practice feminist practice and an understanding of how they can influence people operations.
  • Experience in working in a cross-cultural setting.
  • Demonstrated experience with various human resources and payroll systems, including benefits administrator portals, HRIS and payroll administrator portal.
  • Strong understanding of people operations best practices, employment laws, and collective agreement provisions.
  • Strong computer skills, including Microsoft Office, online conferencing tools (Zoom), project management (Asana), and cloud-based document management (Dropbox, SharePoint).
  • Demonstrated capacity to work both in a self-directed manner and collaboratively with other staff and stakeholders in a remote environment.
  • Flexible and adaptive, able to respond quickly and effectively to changing circumstances.
  • Experience with PurelyHR is an asset.
  • Interested in and/or working towards CHRP is an asset.
  • Eligible to work in Canada.

 

 

Hours, Compensation and Benefits

This is a part-time (18.75 hours per week), permanent salaried position. Hours can be flexible, but must be worked between 7am-6pm ET, Monday to Friday, at a schedule determined with the supervisor for the position. Salary for this position is $65,863 per annum, pro-rated to 0.5 FTE. Funding is only confirmed until June 2026. The intention is that the position will continue past that date, pending renewed funding.

Action Canada also provides a generous benefits program, including extended health and dental benefits, leave allowances, and RRSP contributions.

Location 

Action Canada's offices are based in Ottawa, Ontario. Candidates for this position may be based in Ottawa (and may work either from the office or from a remote work location, e.g. home office) or elsewhere in Ontario. All candidates must be legally able to work in Canada.

Hiring Process and Timeline

Applications will be accepted until Sunday, December 15, 2024. Interviews will be held the weeks of January 6 and 13, with a start date of early February depending on the successful candidate’s availability.

 

The hiring process will include a one-hour panel interview to take place over video conference (Zoom). Candidates will be asked to provide three references, and those moving to the next round will have references checked.
